Completion Grace Period

Refers to a period of time stated in the enrollment agreement that the school may allow the student to complete after the scheduled end dates. Annual Reports consider this Grace Period and will add on this period of time to the Projected Scheduled end dates in determining “On-Time Completers”

Abbreviation of Course Title. IMPORTANT: If programs should be considered the same and combined in Annual Reporting then Catalog ID must match.

Award Upon Graduation

Refers to Award upon Graduation- see Enrollment Agreement and/or School Catalog

Credential Level

Refers to Credential Level upon graduation from this program

Correspondence Course

Title IV Eligibility

Refers to approval of Program to offer Title IV Funds. ONLY select ELIGIBLE if Program was verified to be approved on ECAR

Define if an Associates or Bachelor’s Degree is required before enrollment into this program

Refers to Classification of Instructional Program number assigned on Ecar.

Refers to Standard Occupational Classification number

Will the Graduate need to pass a State or National Exam before employment? Important for Annual Reports

Exam Grace Period for Graduation

Refers to if the State or National Exam is not offered for a period of time after student’s graduate. This is important for Annual Reports

Accrediting Agency

Name of School Accrediting Agency. Must first be entered under Business Partners and Accrediting Agency modules.

Approval Date

Dates the program was approved by Accrediting Agency. Be sure to verify on Accrediting Approval.

USDE Approval Dates

Refers to the Dates on Ecar that this program was approved by DOE for Title IV

Refund Policy

Refers to the Institutional Refund Policy the school uses for withdrawals from this program. Policy must first be entered under Refund Policy module.

Fixed or Sliding

Use Standard AY (SAY) or Borrower-Based AY (BBAY)

Admission Policy

Refers to the Admission Policy for students enrolling into the program. Policy must first be created under 3002/3003.

Grading Table Used

Refers to the Grading Table to use for students enrolled in this program. Grading Table must first be created under 4023.

Required to take Attendance

Yes- School is required to post Detailed Attendance for students.

Defines how attendance will be posted, either Actual Hours or Present/Absent

Distant Educator Indicator

Defines if Some or ALL of the program is offered via Distant Education. Important for Reporting.

Course Instructional Weeks

Refers to number of weeks of Instruction. Used to define Payment Periods

Years for Earned Proration

Course Length for calculating prorated tuition.

No. of Terms in Academic Year

Refers to number of terms (quarters or semesters etc.) in one Academic Year

No. of Academic Terms in the Program

Enter the Number of Academic Terms (Quarters or Semesters) it takes for an Average student to complete the program. If Terms dates are available in RGM, this number of Terms will automatically be created when enrolling a student under 3014.

Academic Year

Enter length of an academic year in weeks and credits

Charge Tuition Based on

Defines how and when to apply charges

Post Termination Based on

Refers to concurrent or consecutive dates in Refund calculations

TRACKING/STORING Course Changes:

When changes are made to Programs, you have the ability to track those changes made to the Program, and only apply modification as of an effective date. The “DATA CHANGES” Tab allows you to view the Changes made, the Effective Date of the Changes, how Changes were applied and the User making the modification.

 

1.Upon clicking MODIFY, a message will appear asking if you want to store Course Changes. If Changes should NOT apply to ALL PAST students ever enrolled in the program, click OK.

2.Enter the Effective Date

3.Under the BASED ON dropdown, define how the Effective Date should be applied. Start Date- Applied to students with Start Dates on or After Effective Date. Enrollment Date- Applied to students with an Enrollment Date on or after Effective Date. LDA- Applied to those with LDA in 4043 on or after Effective Date. Official Determination Date- applied to those students with ODD in 4043 on or after Effective Date. When Student is Active- applied to those students who were active on the Effective Date.
