Campus Forms [1025] |
Module Description
This module determines which Forms will be available for posting/printing under the “Forms” module located under each of the seven menu sections (Recruitment, Admissions, etc.). A list of Global Forms are available, which may be modified as well as an upload feature for new forms.
Customizing Campus Forms
STEP 1: Downloading the form to customize
Go to Trx 1025 (Campus Master Setup - Forms )
From List of Forms TAB: Select the Form and click Detailed Info Tab. Example: Form 10011 – Enrollment Agreement
Look at the section containing the List of Forms created under Form Key 10011.
A new screen will show the actual Document. Click on the link at the bottom of the screen to “Download this form template”.
A pop-up screen will appear asking for you to “SAVE” the document in your local computer. Select “SAVE File” and click OK.
The file should be in your local computer now. Usually the file is saved in your DOWNLOADS folder. Go to your Windows Explorer, go to DOWNLOADS folder.
The file should have a filename FORM_000000_010011.HTML. But if you have previously downloaded the file, the recent one will have a (1) or (2) at the end, depending on the number of copies that you already downloaded.
Click on the file, then RIGHT Click and OPEN WITH Microsoft Word.You can now start Customizing the document. Just remember not to make changes that would cause alteration in paging.
When done, click SAVE-AS. In the Save As Type drop down, select WEB PAGE, FILTERED. Then click OK
Go back to the Window (shown in Step 1.4). Click the CLOSE button.
STEP 2: Uploading the customized form.
Back in Trx 1025 screen, go to List of Forms Tab.
Click UPLOAD button to upload the customized form.
A pop-up screen will show.
Click on the SELECT FORM drop down list. Select ENROLLMENT AGREEMENT (list is sorted by Form name).
Click the BROWSE button and locate the Document File that you just saved earlier.
Click the UPLOAD button.
When upload reaches 100%, click the CLOSE button.
To confirm that your customized form was uploaded, go to Detailed Info Tab.
Your file would have the prefix with the CampusKey number after the word “FORM”.
ONCE the Customized has been uploaded, you can now start using the form when adding it to each student.
STEP 3: Creating the form for a student.
Go to Trx 3019 (Student Admissions Form)
Select a Student
Click the ADD/VIEW Enrollment Agreement button to create new record; OR ADD/VIEW Other Forms button.
Click on the link for the New Form created. The form document should show up with the student data filled in.
