Annual Reports [1036] |
The Annual Reports module allows you to generate data needed for Annual Reporting required by most Accrediting and State Agencies and the U.S. Department of Education, including IPEDS, Gainful Employment and Net Price Calculator.
For all reports, the applicable dates should default under the criteria. Typically there is no need to enter or change the criteria before clicking GENERATE REPORT.
NOTE: (For Non-term programs) reports that consider “Student Scheduled End Dates” the report will default to project Student Scheduled End dates based on their Student Weekly Schedule. There is the option to change this and use Program Defined Length or Manual End Dates.
Student Tracking Report> Allows you to see the following student details: Key, Age, program, program length, start and end dates, enrollment status, state exam date, employment date. The report can be filtered based on the following criteria; Graduation Dates, License Exam Date, Date of Placement, Scheduled Graduation Date or Start Date.
NACCAS Annual Report> An Annual Report applicable to those schools accredited by the National Accrediting Commission of Career Arts and Sciences.

IPEDS Reports> The following reports are available in RGM and required annually by the Integrated Postsecondary Education Data System for ALL schools participating in Title IV funding.
NOTE:
Depending on your Academic Calendar your school could be considered a Program Reporter (reports on a full year cohort) or an Academic Reporter (reports on a Fall Cohort). Both versions are available under Trx 1036, be sure to generate the applicable report. A Program Reporter starts programs all throughout the year, an Academic Reporter only starts programs at the same time which is the beginning of each Quarter, Semester, etc.
Also, there are multiple versions of reports based on the length of your programs. Ensure you generate the applicable report.
The applicable dates should automatically default under the criteria: however, for reports that consider “Student Scheduled End Dates” note the report will default to project Student Scheduled End dates based on their Student Weekly Schedule (for non-term programs). There is the option to change this and use Program Defined Length or Manual End Dates. IMPORTANT: you must be consistent with the option you select under this “Define Full-time based on” dropdown, and select the same option for ALL other IPEDS reports! Since cohorts carry over from year to year, this will avoid a discrepancy in future defaulted cohorts. Ex. If you select the scheduled end dates to be based on Program Defined Length for the Graduation report, you must use the same option on the Student Financial Aid, GRS 200, Student Outcome Measures and Fall Enrollment reports.
IPEDS Graduation Report> typically due in winter submission. This report tracks given cohorts of full-time, first-time degree/certificate-seeking undergraduate students - as well as their completion status at 150% of the normal time to complete all requirements of their program of study - at postsecondary institutions. These data are collected to assist institutions in complying with the requirements of the Student Right-to-Know Act.
IPEDS 200% Graduation Rates> See help file for Trx 1062. Typically due in winter submission. This report collects more extensive data on graduation rates as required by the Higher Education Act, as amended. The necessary data are collected to calculate graduation rates at 200% of normal time to complete all requirements of their program of study.
IPEDS Completions> typically due in fall submission. This report collects data on the number of awards conferred by postsecondary institutions during the 12-month time period beginning July 1 of the previous calendar year and ending June 30 of the current calendar year.
IPEDS 12 Month Enrollment> typically due in fall submission. This report collects unduplicated enrollment counts of all students enrolled for credit and instructional activity data in postsecondary institutions for an entire 12-month period. Data are collected by level of student and by race/ethnicity and gender. Instructional activity is collected as total credit and/or contact hours attempted at the undergraduate, graduate, and doctor's professional levels. Using the instructional activity data reported, a full-time equivalent (FTE) student enrollment at the undergraduate and graduate level is estimated. If you do not offer graduate level programs, be sure to select the undergraduate version. If you offer graduate level programs, be sure to select the graduation level version.
IPEDS Student Financial Aid> typically due in winter submission. This report collects information about the financial aid provided to various groups of undergraduates. If the report asks for a Fall Cohort, select the Academic Reporter version in RGM. If the report asks for a Full Year Cohort, select the Program Reporter version.
IPEDS Outcome Measures (see Trx 1060)> typically due in winter submission. This report tracks the status of four undergraduate student cohorts at degree-granting institutions. Student completion awarded by the reporting institution and enrollment status is collected six and eight years after they entered the reporting institution.
IPEDS Fall Enrollment> typically due in spring submission. This report collects enrollment data on all students enrolled for credit in courses/programs that could lead to awards ranging from postsecondary certificates of less than 1 year to doctoral degrees. Fall enrollment data are collected by level of student, attendance status, race/ethnicity, and gender. In addition, the Fall Enrollment component collects data on the institution's undergraduate entering class, first-time student retention rates, and the student-to-faculty ratio. Every other year data on enrollment by nine selected fields of study are collected, as is residency of first-time degree/certificate-seeking undergraduate students. In opposite years, enrollment by student age is collected. If the report asks for a Fall Cohort, select the Academic Reporter version in RGM. If the report asks for a Full Year Cohort, select the Program Reporter version.
ABHES Annual Report> An Annual Report applicable to those schools accredited by the Accrediting Bureau of Health Education Schools.

ACCSC Annual Report and ACCSC Completion and Placement Chart> An Annual Report applicable to those schools accredited by the Accrediting Commission of Career Schools and Colleges.
TIP:
The applicable Report Dates should default for you under the criteria. For the Completion and Placement Chart, first select the Program and the program length will default to the Defined Program Length set-up from RGM.

Net Price Calculator> Required by DOE for schools approved for Title IV. Collects Median Grants and Scholarships details for Full Time, First Time Students. To be determined First Time; student’s start date is during cohort period, there are no transfer credits, no prior enrollments and level of education is checked on student profile and first valid ISIR. Full Time; system checks enrollment status under enrollment screen.
