Student List Report [3551]

 

 

The Student List Report (SLR) is a very dynamic report and is available under the “Reports” section throughout all areas of RGM. The SLR allows you to generate a listing of students based on the criteria you see above.

 

How To Generate the Report:

 

1.First: determine WHO to view on the report by selecting from the Report Criteria. More than one option can be selected.

2.Second: you’ve specified WHO to show on the report, now determine WHAT information to display for these individuals by selecting from Report Formatting.

3.Third: determine HOW to generate the report by selecting batch (explained further in this help file) or removing batch and clicking GENERATE REPORT.

 

Report Criteria: This narrows down the students you wish to generate on the report. Once the criteria are defined, then you can select information you wish to view for these students under Report Options.

 

Report Criteria Field

Description

Campus

Only visible if there are multiple campuses. Will default to the signed-in campus. Allows the data on the report to be for a specific campus or all campuses combined.

Key

Refers to the RGM ID assigned to each student automatically upon saving a student profile. The ID will auto populate to the ID of the student you were working with in the previous screen. You may click CLEAR and enter a different student ID or leave it blank and use other criteria.

SS#

You may generate the report for a specific student by entering their social security number before clicking generate.

ID

You may generate the report for a specific student by entering their ID#. This is different than the student key. ID is optional and created by the school under the student profile.

Student Name

You may generate the report for a specific student by entering their full or partial name before clicking generate.

Card #

You may generate the report for a specific student by entering their Card#. This is different than the student key or Student ID. Card # is optional for students and created by the school under the student profile.

Enrollment Status

Allows you to generate the report for a single student or All students based on their CURRENT enrollment status.

In Date Range

Allows you to specify a date range for the Enrollment Status. Ex. Enrollment Status: ACTIVE, Date Range: 01/01/2018-12/31/2018 will generate students who were Active during that date range.

Based on DOD

If this is selected, then the date range will use the student’s Date of Determination rather than the Last Date of Attendance. Ex. Enrollment Status: Withdrawal, Date Range 07/01/2018-07/15/2018, if DOD is not selected then it will generate students who withdrew and their LDA was during that date range, if DOD is selected then it will be students who withdrew and DOD was during that range regardless of the LDA.

Enrolled In

Generates those students enrolled in specific programs

Show Inactive Programs

If selected then the list described above will also show inactive programs.

Enrollment Type

Specifies enrollments that are NEW, Re-enrolls, transfers

Enrollment Date

Generates only those students with an enrollment date during the date range. This refers to when they signed their enrollment agreement, not when their program starts.

Enrollment Start Date

Generates those students where their program starts date is within range.

Scheduled End Date

Generates students who are scheduled to complete their program within the range.

Last Date of Attendance

Generates students with an actual Last Date of Attendance in the program during the range.

Date of Determination

Generates students with a student END posted and the enrollment status end date determination is within range. This is not the LDA, but the date the school determined the student either a graduate or withdrawal

LOA Expected Return

Generates only those students on a Leave of Absence and their expected LOA return date is within range

Group/Class Group

Generates only those students who are assigned to the Group. Groups are established under 3006 and assigned under 3017

Type Flag

Generates only those students assigned to a Type flag. Type Flags are assigned under 3007 and 3018

Admission Basis

Generates only those students with the selected type posted under Admission Basis in their student profile. Admission Basis refers to the credential collected at enrollment of either: Ability to Benefit, High School Diploma or GED

Income

Generates those students with an annual income between the range. Income is collected based off the student ISIR

Last Attendance

Generates only those inactive students with a last date of attendance within the date range

Weekly Schedule

Generates only those students assigned the selected weekly schedule. Weekly Schedules are assigned to all non-term students under 3015

Gender

Ability to generate based on Male or Female

Highest Degree Achieved

Generates only those students with the obtained degree. Refers to the level upon enrolling into school as specified under the student profile.

Want Financial Aid

Lists only those matching the selection. Want Financial AID is referring to those interested in Student Financial Aid and determined under Student Profile.

LOA Date

Refers to the Students who were on a Leave Of Absence during the range

Marital Status

Refers to the students marital status specified under the student profile

Students Re-enter

Generates only those who have re-enrolled

Within 180 Days

Generates only those who have re-enrolled within 180 days of prior enrollment. This is typically tracked for Title IV purposes

Include Only students with an email address

If selected, only those with an email address in RGM will be listed

Include only those with different HS Name

If selected, only those with a High School Name listed in student profile or on ISIR will be generated

Omit Cancel, No show, Non Start

If selected, the list will exclude those with a student end of either Cancel, No Show, Non Start status under 4043

Include Only students with Transfer Hours

If selected, only those with transfer hours under student profile and/or enrollment screens will be listed

 

Note- The Feature-Rich Version of the SLR offers the same options, but also allows for viewing and uploading into Excel.

In addition to the filtering criteria shown above, the following options are available to VIEW on the report.

          

          

 

Report Formatting

Description

Sort BY: Last Name, Student Key, Start Date

Refers to how the students listed should be filtered/in order. The default is to list students alphabetically by last name, but you can change that to either list them in order of student key or Start Date.

Time Clock Format

Once the criteria of WHO to show has been determined, and the earned hours are selected under report options, for those students who use the RGM time clock to log attendance, you can specify to show the format in decimal or hours

If selected, all options will be displayed for the selected students

Campus Key

If selected, The Key of the campus the student is attending will show on the report

Enrollment Date

If selected, the date the student enrolled will show on the report. Enrollment date is created under student enrollment screens 3013 and 3014

Revised Date

If selected, the revised end date of the student will be shown on the report. Each student has a scheduled end date created by RGM based on their enrollment data, if this is changed it may revise their scheduled end date. Student scheduled end date can be seen and explained further under Mastersheet, Enrollment Section

Determination Date

Refers to the date the school determined the student end under 4043.

Telephone

Refers to the Student’s home phone numbers from student profile

Mobile No.

Refers to the student’s mobile phone numbers from the student profile

Total Hours/Units

Refers to the total clock hours completed by the student including transfer hours

Supplies

If selected, will show the Supplies charged to the student

Type Flag

If selected, will show the Type Flag group assigned to the student

End Units

Will display the Total Earned units for Inactive Students

Admissions Staff

Refers to the Staff assigned under the Lead and Student Profiles

Inquiry Method

Refers to the Inquiry Method used to recruit the student. Inquiry Method is selected under Lead and Student Profiles

Last Attend

Marital Status

Refers to the marital status of the student specified under Student Profile

Leads Mobile No.

Orig. Expected Date

Refers to the Original expected end date of the student

Manual End Date

Refers to the student’s manual expected end date that is optional and entered under enrollment screens by the school

Address

Refers to the student’s address entered under Student Profile

Use Pipe

If selected, this will display the entire address under one field rather than separating it by street, city, state, zip.

Transfer Hours/Units

Displays any transfer hours/units accepted from another school or enrollment

Fees

If selected, will show the Fees charged to the student

Admission Basis

If selected, will show the required credential collected upon enrollment: ATB, HS Diploma, GED

Ethnicity

Displays the student’s ethnicity from the student profile

Report Totals

If selected, will total certain criteria such as ending statuses, totals by programs, Aid totals, etc.

Student Comments

If there are Comments entered under the Comments module, it will display YES. YES is a hyperlink that will open the comment section of the Mastersheet

% Weeks Done

Refers to the percentage of weeks passed out of the total schedule weeks for a student

Re-enter/transfer

Refers to a student re-entering a program or transferring from another program or school

Income

Refers to the income of the student as per their ISIR

Kinds of Notice

Refers to the Type of Notice specified under Student Ends

Scheduled End Date

Refers to the student’s current scheduled end date

Masked SS#

If selected, this will not show the student’s entire social security number

Course Hours/Units

Displays the Total Hours or Units of the program the student is enrolled in

Reason for End

Displays the Reason for the Student end posted under 4043 for an inactive student

Hours/Units attended

 

Legend

Displays the Legend explaining the report headings

Weekly Schedule

Displays the current weekly schedule assigned to the non term student

RGM HS Name

Refers to the student’s High School Name entered under Student Profile

Total Ext Hrs

Displays the student’s completed externship hours

Student ID

Refers to the ID assigned to the student under the student profile

SS#

Displays the student’s social security numbers from the student profile

Course

Displays the Program Name and key of the student

Leave

Displays the Leave of Absence and LOA Return dates for those students with LOAs

Cumulative Hrs/Units

Displays the percentage of hours completed out of enrolled hours

Age

Displays the student’s age range from the student profile

Completed Subject

 

LDA

Displays the student’s actual last date of attendance as posted under student ends

Actual End

 

Email

Displays the student’s email address

ISIR HS Name

Displays the student’s high school name from their ISIR

Old/New Campus

Displays the campus key when the student transfers from one campus to another and both campuses are set-up in RGM

GPA

Displays the student’s current GPA

Student Key

Refers to the student key assigned automatically when a student profile is saved. This is the key you use to search students in RGM.

Start Date

Displays the date the student started the program

Citizenship

Displays the student’s citizenship from the student profile

Attendance Type

Displays the enrollment status of either Full Time, Part Time, ¾ Time

Gender

Displays M for Male or F for Female as stated under student profile

% Attendance

 

Status

Displays the student’s current enrollment status

Group

Displays the Group the student is currently assigned to

End Hours

 

Media Used

Displays the Media selected for the student under Lead and Student Profile. Refers to how the student discovered the school

Source Key

Refers to the specific Media Source that brought the student to discover the school

Highest Degree Achieved

Refers to the student’s highest level of education at the time of enrollment

LOA Return

Displays the date the student is actually returned from a leave of absense

 

 

Like most RGM reports, there is a “Batch” option. You can choose to generate the report under Batch, and the report can be accessed by clicking “Batched Reports” at the top of your RGM window. Generating reports under Batch enables you to continue working throughout RGM while the report generates in a different screen, as well as archiving so that you may access the report again in the future.

 

 

Like most RGM reports, there is a “Repeating Schedule” option. Once this selection is made, a box appears below allowing you to customize the occurrence. This will automatically generate the customized report under “Batch” based on the repeat schedule.
