RGM Time Clock |
The Time Clock feature is web based and is offered to most Schools using the RGM system at no additional charge. The Time Clock enables students to enter their attendance using an In and Out punch or fingerprint scan method. The recorded Time In and Time Out is automatically posted to the student’s attendance record in RGMSMS.
There are two options, Option 1: Schools have a computer with internet available for students to access the Time Clock during school hours. Students will enter their pin # on the computer to punch in and out. Option 2: Biometric Option where a fingerprint device scanner is accessible to students.

A student record is created automatically in the Time Clock System within 24 hours after a student is enrolled in the RGM system.
Students login to the Time Clock System using a Key # (if Biometric fingerprint scanner is not used). This Key # is assigned automatically when the student is enrolled in RGMSMS and is the same Student Key # found in the student profile of the RGM system. Students should not share their Key # with others.
A Login ID and Password will be provided to the Campus Administrator by RGM. This ID and password should be unknown to others thus should NOT be provided to students.
Students enrolled in a Non Term programs must first have a student Weekly Schedule created before using the Time Clock System. Standard Student Weekly Schedules are created in RGMSMS TRX 4003 and assigned to individual students in TRX 4032.
The Break Time Rules for Time Clock Attendance postings are created in Registrar Controls TRX 4002.
The number of In/Out combinations allowed by a school is set in TRX 4024 Kinds of Detailed Postings.
Other types of Attendance Postings offered Registrar/Student Academic Postings are not available for students utilizing the Time Clock.
Creating Time Clock Records:
Note: Students enrolled in a Non Term Program must first have a Student Weekly Schedule created to access the Time Clock. Standard Student Weekly Schedules are created in RGMSMS TRX 4003 and assigned to individual students in TRX 4032. Students are permitted to only punch in on those days created in their Student Weekly Schedule.
The following THREE steps are to be performed by the Campus Administrator:
1.Enter https://web.rgmsms.com/_tclock/clockindex.html in your web address bar, click Go.
2.Enter your Campus Administrator Login ID and Password, click Login.
Note: The Login ID and Password will be provided to the Campus Administrator by RGM. This ID and password should be unknown to others thus should NOT be provided to students.
3. Double Click on your School Name.
4. The screen to display is the Student Punch Time In/out main screen.
5.Student enters their Key #, click ENTER.
Note: A touch screen monitor is also compatible with the Time Clock System and may also be used in place of a keyboard.
6.The screen to display will list the School Name, Today’s Date, Real Time, Student’s photo (optional), Student’s Name, Program, Student’s start and end date, and Time to be recorded as student’s Time in.

Note: If a student has already Logged In for the day, the system will be in Time Out mode the next time the student enters their key# and vice versa.
7.The system will return to the Student Punch Time In/Out main screen.
Correcting a Time Clock Record:
There are two methods available for correcting Time Clock Records. Records can be corrected by the Campus Administrator in the Time Clock System or RGMSMS.
The Time Clock method only allows correction to the last record with a recognized error. The RGMSMS method allows corrections to be made to any record including deletion of records.
Correcting a Time Clock Record using the Time Clock System:
1.Follow steps 1-4 above.
2.In the Student Punch In/Out main screen, enter key # 0, click ENTER
3.Again, enter the Login ID and Password provided to the Campus Administrator, click Login
4.Enter the Student Key # for the student who has reported their Time Clock error, click .
5.The screen to display will default to the date of the error.
6.Click the Time In or Out.
7.Enter the Correct Time including AM or PM.
8.Change the Kind of Entry to the appropriate kind of punch; Time Out, Break, Return, etc
Note: Types of “Kinds of Entry” options displayed are selected by the school.
9.Click .
10.Click when done to search for a new student or click
to exit to the Main Time Clock Student Punch Screen.
Correcting a Time Clock Record using RGM System:

Viewing the Summary of Time Clock Attendance Report
1.Login to RGMSMS
2.Access Registrar Reports TRX 4055
3.Select the Summary of Time Clock Attendance Report form the Kind of Report dropdown.
4.Click Generate.
.The report will display each student’s time in/out time for each day
Note: The In/Out times highlighted in RED are errors recognized by the system and should be corrected. To correct Time Clock records, follow the steps listed above.
