Subjects-For Non-Degree Programs [4008]

 

 

          

          

 

Module Description

Allows users to define Subjects that will later be assigned to Non-degree Credit Hour Programs. RGM staff will typically set-up Subjects in a program based on the approved curriculum submitted to the Accrediting Agency and/or College Catalog. Academic and USDE credit is defined for each subject.

 

IMPORTANT Things to Remember:

If a subject is no longer offered, do NOT delete the subject in this module, rather change the dates in the “Date Offered” fields to reflect the time frame the subject was offered. If the Subject is revised or no longer used for a specific program only, do not enter an “end” date here, rather go to “Subjects In a Program” module to enter a “REMOVE” date for that subject.

Subjects may have already been assigned to programs and student records, do NOT delete subjects!

If there is a change to a Subject (Name, Code and/or hours/credits) do NOT delete the subject. Rather follow the steps mentioned above, and create a new Subject here by clicking ADD.

 

Field

Description

In Program of Study

Select the Program the subject will be assigned to ONLY if the subject is not shared with other programs. If the subject will be used in other programs, do not assign a program here, wait to assign them under Subjects in a Program module.

Measured In

Refers to the subject type being measured in Semester Credit, Quarter Credit or Trimester Credit. Subject type should first be verified on State, Accrediting and DOE (ECAR) approvals. Field will default to “Measure Type” set-up in School Controls under Administration section.

Key

Refers to the number sequentially assigned for each entry

Active record

If Active the record will be available to assign to programs

Catalog Code

Refers to the Code (abbreviated Subject Name) assigned to each subject by the school. The Code should match the one assigned to each subject in the School Catalog and/or Curriculum break down submitted to their State and/or Accrediting Agency.

Min. attendance % to complete the subject

Enter the percentage of subject hours required for the student to attend.

Subject Name

The Name of each Subject

Date Offered

The Dates the subject was offered to students. These dates will default under “Subjects in a Program” module, and will only be part of a student’s curriculum if the student’s enrollment is during these dates.

Grading

Select a Grading Table to be assigned to the subject. Grading Tables are defined under Trx 4023 Grading Tables.

Prerequisites

Assign subjects in sequential order that must be taken as prerequisites before this subject can be completed. Subjects displayed here were first entered in Trx 4005-4009.

Accrediting Agency Ratio Override

Select if the clock to credit ratio defaulted under “Accrediting Comm Ratio” fields should be overridden. Accrediting Agency is assigned under Trx 1005 and the Accrediting Ratio is set up under Program Set-up Trx 1012-1015

Override USDE

Select if the clock to credit ratio defaulted under “USDE Ratio” fields should be overridden. The USDE Ratio is set up under Program Set-up Trx 1012-1015

Equivalent Clock Hours-Lecture, Lab, Externship, Outside, TOTAL

Enter the number of Clock Hours for each type (Lecture, Lab, Extern, Outside and TOTAL). This breakdown is typically verified in the school catalog as well as clock to credit ratio form submitted to the Accrediting and/or State agency.

Accrediting Comm Ratio-Lecture, Lab, Extern

Refers to the Clock to Credit ratio of each subject defined by the Accrediting Agency. Ratio defaults to the ratio defined under Program Set-up Trx 1012-1015, but can be overridden if necessary to arrive at the correct credit hour.

Credit Units-Lecture, Lab, Extern, Outside, Total

Enter the number of Credits for each type (Lecture, Lab, Extern, and TOTAL). This breakdown is typically verified in the school catalog as well as clock to credit ratio form submitted to the Accrediting and/or State agency.

USDE Ratio

Refers to the Clock to Credit ratio of each subject defined by the USDE. Ratio defaults to the ratio defined under Program Set-up Trx 1012-1015, but can be overridden if necessary to arrive at the correct credit hour.

USDE Credit Units-Lecture, Lab, Extern, Total

Refers to the number of credits allowed by United States Department of Education (USDE) for each type (lecture, lab, extern and TOTAL). The USDE clock to credit ratio is already defined under Program Set-up Trx 1012-1015.

Mid Exam

Determines if a Mid Term Exam is required for the subject

Final Exam

Determines if a Final Exam is required for the subject
